EDICOM has an Electronic Storage Legal Observatory that constantly reviews electronic storage laws and current international technical regulations to adjust to any electronic data safekeeping project.
We support you in designing your international electronic storage project.
The characteristics and regulations concerning digital storage (cryptographic procedures, storage times, etc.) can vary depending on document type and volume of confidential data contained. This means that documents such as invoices, contracts, and pay slips, among others, usually have a dedicated technical regulation governing their generation, processing, and electronic safekeeping.
If to this we add the international factor, whereby laws for certain safekeeping processes such as those related to the electronic preservation of digitalized data, for example, can vary by region or country of the world, the problem for companies that safeguard documents at a global level is fairly significant. in terms of efficiency because different electronic storage solutions are needed for each country where the electronic document safekeeping processes scattered throughout an organization’s digital ecosystem are applied, and of course, in terms of spend on technological resources, as companies require the services of different technology and solution providers adapted to the region.
The upside is that for many of the electronic documents or archives requiring safekeeping, companies are governed by a number of general regulatory criteria describing the way to store a document electronically. In other words, precedence is given to the criteria defined under international regulations such as ISO 14641 on Electronic Archiving, at the global level, or the eIDAS Regulation at the European one.
But what happens in the case of documents with the most demanding electronic safekeeping requirements?

The EAS must apply advanced cryptographic mechanisms like the electronic signature, electronic seal, or electronic time stamp.
These mechanisms offer authenticity and integrity guarantees and must be audited and certified by a competent administrative authority. This task usually falls on the digital agencies of the ministries of the tax office or economy.
The technology partner must be recognized as a trust service provider in the countries or regions of the world where the document safekeeping is applied. Examples are trust service providers certified by the eIDAS Regulation in Europe (replacing certification authorities) or certification service providers in Latin America.
The document EAS must have functionalities that enable the streamlined organization of the web app in accordance with an international work environment whereby users can access, consult, and upload documents from the company’s different branches.
Document security and confidentiality in a complex storage environment with multiple accesses by different users is key. The EAS must make it possible to administer and restrict user level of access to documents.
It must be equipped to apply the cryptographic procedures and mechanisms required at the local level to preserve an electronic document or digitalization process application.

EDICOM has an Electronic Archive Legal Observatory that constantly reviews electronic storage laws and current international technical regulations to adjust to any electronic data safekeeping project.
EDICOM's active engagement as a trust service provider entails conducting permanent audits on our electronic archiving system in accordance with the most demanding international security standards such as ISO 14641, which guarantees the reliable operation of an information system for the preservation of digital information, or ISO 27001, which certifies secure information processing in a dataflow system.
Additionally, our electronic storage system has local certifications in regions where there are specific laws on electronic preservation, such as, for example, Conservazione Elettronica in Italy or NOM151 in Mexico.
In an increasingly digital Europe, citizens, companies, and the public sector need a regulatory framework that brings security and legal certainty to electronic activities. These security mechanisms are set forth in Regulation No 910/2014, known as eIDAS. This new regulation brackets electronic documents in the same category as traditional paper ones. It also stresses that to preserve them for the long term it is necessary to have a certified and trusted document safekeeping system.
In this White Paper, we present the new qualified trust services, emphasizing electronic document safekeeping services.
