The characteristics and regulations concerning digital storage (cryptographic procedures, storage times, etc.) can vary depending on document type and volume of confidential data contained. This means that documents such as invoices, contracts, and pay slips, among others, usually have a dedicated technical regulation governing their generation, processing, and electronic safekeeping.
If to this we add the international factor, whereby laws for certain safekeeping processes such as those related to the electronic preservation of digitalized data, for example, can vary by region or country of the world, the problem for companies that safeguard documents at a global level is fairly significant. in terms of efficiency because different electronic storage solutions are needed for each country where the electronic document safekeeping processes scattered throughout an organization’s digital ecosystem are applied, and of course, in terms of spend on technological resources, as companies require the services of different technology and solution providers adapted to the region.

An international electronic archiving service like the one that EDICOM offers with its EDICOMLta (Long Term Archiving) solution must respect the following criteria:
Electronic archiving system (EAS) design in accordance with specific international regulations and vouchsafed by an accredited organization, such as, for example, ISO 14641 or the eIDAS Regulation.
The EAS must apply advanced cryptographic mechanisms like the electronic signature, electronic seal, or electronic time stamp.
These mechanisms offer authenticity and integrity guarantees and must be audited and certified by a competent administrative authority. This task usually falls on the digital agencies of the ministries of the tax office or economy.
The technology partner must be recognized as a trust service provider in the countries or regions of the world where the document safekeeping is applied. Examples are trust service providers certified by the eIDAS Regulation in Europe (replacing certification authorities) or certification service providers in Latin America.
The document EAS must have functionalities that enable the streamlined organization of the web app in accordance with an international work environment whereby users can access, consult, and upload documents from the company’s different branches.
Document security and confidentiality in a complex storage environment with multiple accesses by different users is key. The EAS must make it possible to administer and restrict user level of access to documents.
It must be equipped to apply the cryptographic procedures and mechanisms required at the local level to preserve an electronic document or digitalization process application.
